Good work should
get paid.
Find where project cash gets stuck. See what needs attention.
Leave with a practical plan to move it forward.
Overdue comes from QuickBooks. Earned work not yet invoiced is what you entered. This is cash to pursue, not guaranteed recovery or additional profit.

Check your project balances.
Balances marked From QuickBooks are read from the books and locked. Enter what QuickBooks does not hold, each dollar in only one project category. Your entries save automatically in this browser.

Your 30-day cash picture
QuickBooks bills leave out payroll, taxes, overhead not billed by a vendor and loan payments. Invoice due dates are not promises to pay. Do not add the dashboard opportunity total again.

Project balances
Overdue invoices come from QuickBooks, one row per customer or job. Earned work means completed, contractually billable work. Unsigned changes are additional work awaiting approval. Deposit gaps are amounts required before upcoming work starts; do not include them in the other columns.

Locked balances are read from QuickBooks; the rest are what you entered. This check does not verify contracts, bank transactions, lien rights or invoice collectability.
Put the fixes to work.
Grouped by action type, then dollars. Assign each fix, use its template, and mark it done after you complete the work.
Templates and trackers are ready to use. No emails, invoices, contract changes, or payments are sent automatically. “Done” tracks your action; update the project balance when cash or approval is confirmed.

Capture cost and schedule impact. Route the change for written approval before additional work.
Milestone → invoice
Track completed work against billing milestones. Turn eligible earned balances into invoices.
Payment → margin
Chase overdue invoices, reconcile receipts and refresh the cost-to-complete forecast weekly.
What QuickBooks supplies
Overdue invoice balances are grouped by customer/job. Bank cash is the balance recorded in QuickBooks, not a live bank feed. Vendor bills are grouped by vendor: past due, and due in the next 30 days. Invoice and bill due dates are suggestions for review, not confirmed receipts or a complete spending forecast. Project information still needs confirmation.
How the numbers work
Cash waiting for action = overdue invoices + earned unbilled work. Approval exposure = unsigned changes, shown separately. Funding gap = max(0, vendor bills due in 30 days − bank cash − invoices due in 30 days). Vendor past due = open vendor bills whose due date has passed, per vendor; it is money owed out, never added to cash to collect. Forecast overrun per project = max(0, cost to complete − budget remaining); overruns are never added to the cash opportunity total. Deposit gaps are upcoming funding requirements, also kept separate. No annualization or assumed recovery rate is applied.
About this checker
This is a cash position worksheet.
Where the fixes happen
The client opens their private link and signs in on QuickBooks’ own page. We read invoices, bills and bank balances once, save that copy, and disconnect right away. No connection is kept, and nothing is ever written to QuickBooks. The action plan, owners and drafts stay here. When a client signs, “They signed — send fixes to their build” hands each fix to the Get Paid job that handles it in their build. No automatic invoices or payment requests are sent.
